Online signing of documents with EU partners launched in Ukraine: how it works and why businesses need it
Ukrainian businesses have been given the opportunity to sign contracts and primary documents with European counterparties completely digitally. The new function was implemented by the Vchasno ecosystem, integrating support for European qualified electronic signatures (QES).
Ukrainian businesses have been given the opportunity to sign contracts and primary documents with European counterparties completely digitally. The new function was implemented by the Vchasno ecosystem, integrating support for European qualified electronic signatures (QES).
Why is this important?
The European Union remains Ukraine’s main trading partner: in 2025, EU countries accounted for 58% of Ukrainian exports and 47% of imports of goods. Despite this, a significant part of international document flow still remained paper-based. For companies, this meant not only the costs of international express delivery, but also delays in shipping goods, starting projects, or making payments.
How is the signing done?
The process of exchanging documents has been simplified to a few steps and does not require a foreign partner to undergo complex registration:
a Ukrainian company uploads a document to the “Vchasno Pidpis” service and signs it with its KEP;
the system generates a link that is sent to the European counterparty;
An EU company opens the link and applies its European signature (QES) without mandatory registration on the platform.
How to get a European QES
If a Ukrainian company does not yet have a European signature, Vchasno helps to issue it remotely from Ukraine through the Polish qualified provider Certum. The support process takes several days. If the company already has a QES from one of the supported EU providers, there is no need to obtain a new one.
The use of a European qualified electronic signature is regulated by EU and Ukrainian regulations. In the European Union, according to the eIDAS regulation, QES has the same legal force as a handwritten signature on paper. Ukrainian legislation provides for the recognition of European electronic trust services subject to compliance with the conditions specified by law.
