What is the goal of digitalizing personnel accounting?
Digitization of document flow is one of the priorities for the Aurora network. The company is large, growing rapidly, has many internal processes and specific integrations. Therefore, it was important to find a digital solution that would simplify work with personnel documents.
Now you can sign documents in minutes, work from your phone, and easily scale the platform for employees across the entire network.
The tasks that were set:
reengineering of processes in personnel accounting;
online document processing;
reduction of costs for working with papers;
automation of personnel processes;
«When starting work on the new service, the Aurora team, first of all, focused on optimizing the most typical HR processes — hiring, vacation, business trips, job changes, dismissal, and issuing certificates,» says Oleksandr Voynalovych, Director of the R&D Department of the Aurora network.
The company also analyzed internal data and found that over 93% of employees have an electronic digital signature, and the rest are ready to do so in the shortest possible time. This data meant that the company was ready to transition to a digital format for document exchange.
The implementation of the eKadry service makes it possible to completely eliminate paper document flow in personnel accounting processes.
How the eKadri application works
The eKadry service was developed in partnership with the Ukrainian company soft Xpansion, which created a solution based on its own softXspace software platform and the softXspace.HR-Basis module. The choice of the solution was based on the need for individual access for each employee. To do this, the service provides work on a computer and mobile devices: through a desktop version, an adaptive interface, and applications for Android and iOS.
To start working with eKadra, you need to install the application on your smartphone and log in using your fingerprint or Face ID. On a computer, you log in via Active Directory, a corporate employee account system.
The service already allows you to apply for leave, obtain the most popular certificates, such as: a certificate of income or place of work. In addition, documents are available both in electronic and paper form. Also, eKadrakh has a convenient function — now you can change the details of your salary card in a few clicks.
Aurora’s eKadri service was created based on the values of the company «Action for People» and is designed to make the work of employees as convenient as possible: you can get the desired result in just two clicks.
To issue the necessary document from a smartphone, you need to install the application and pass identification using a fingerprint or Face ID. For example, to «write» and approve a vacation application, you only need a few clicks and an electronic signature.
The employee selects the type of vacation, the start date and end date, and the number of days is calculated automatically. After that, you need to click «Create application» and an application will be created based on the entered data. The employee will only have to sign either via Action.Signature or with a PrivatBank digital key. Then the application is automatically sent for approval to the manager, who can approve or reject it.
When the manager approves the leave, it automatically goes to the HR department, which creates an order and sends it to the manager. If the manager does not approve the leave, the employee can ask questions about the reasons for such a decision directly in the application chat.
Also, the eKadry application has developed an additional interface for department heads — a separate calendar will display vacations, sick leave, business trips, or other types of employee absences.
What’s next?
The first launch of the eKadry service has already taken place — currently, employees can apply for vacation and business trips in the application. However, the implementation of the eKadry service is only the first step in the digital transformation of Aurora’s HR processes. The company is actively working on expanding the application’s capabilities.
In the near future, we plan to develop and implement:
the process of processing documents for business trips and job changes
recruitment process
digitalization of occupational health and fire safety magazines
electronic passes
«It was important for us to make the process as convenient and understandable as possible for the employee. It is equally important to maintain all the company’s requirements for document processing and compliance with the law. Finding this balance is not easy, but it allows us to simultaneously ensure comfort for people and the necessary level of control and compliance,» says Inna Kovalenko, head of the payroll and human resources department of the Aurora chain.
In parallel, work is underway to integrate Monobank and «Diya» into the processes of signing documents for hiring, transferring to another position, or dismissing an employee.
Separately, the Aurora team is preparing training for employees and HR professionals, as well as developing a chatbot and an AI-based assistant that will become a personal assistant in working with documents.
Thanks to the eKadra service, Aurora employees get the opportunity to work with documents quickly and conveniently, and the company gets a modern tool that helps translate all HR processes into a convenient and secure online format.
