Ukrainian IT company Sigma Software is using the Sima chatbot, based on artificial intelligence from OpenAI, to process common questions from employees. The product is planned to be sold to «one of the world’s leading tech companies» in 2025.
As Forbes Ukraine reports, Sigma Software has invested about $400,000 in the AI-based Sima chatbot over five years. The company’s head of management and compliance consulting, Yevhen Bachynsky, claims that the chatbot saved thousands of hours a year on analyzing internal databases, processing vacations, onboarding new employees, etc.
Sima development began in 2019 to reduce the number of similar requests to HR managers: vacation registration, health insurance, corporate training. Employees also gained the ability to configure VPN services or find project documentation without the help of a sysadmin.
«We have a fairly large library of documents that helps in business, engineers in finding tools, and HR practices. In order to search for the necessary documents and understand where they are, we created this chatbot», — said Valeriy Krasovsky, co-founder and CEO of Sigma Software. According to him, Sigma Software spends approximately $600,000-700,000 per year on developing internal projects that help the company in business processes.
The bot is integrated into the company’s internal chats — Microsoft Teams and Facebook Workplace. According to Bachynsky, HR can forward employees' questions to Sima in the same chat. The developers are also setting up targeted notifications about events in the company, and the chatbot will send announcements of AI meetings to specialists interested in this topic.
Yevhen Bachynskyi noted that Sima works on the basis of the OpenAI model for interacting with users in «live» language, the DIET model for recognizing and classifying queries, and the RAG principle for searching for information and creating short summaries from documents. During 2023, Sima processed more than 7,380 employee queries, and by the end of 2024, about 8,000.
Sigma Software plans to sell Sima to a global tech company, whose name is not disclosed due to a non-disclosure agreement, in 2025. The head of management and compliance consulting at Sigma Software noted that the chatbot will then be sold to other clients.
